1 The prompt and the answer

01 Chat · the prompt and the answer

One real chat with Claude, in two turns. First she asks her questions. We answer them. Then she builds the report.

The prompt

Context: I'm the revenue manager of a hotel. The report is for the owner, who reads it every Monday.

Goal: build the report of the next 7 nights from the attached OPERA export.

The file: an OPERA Cloud export in JSON, with occupancy, availability, group blocks and maintenance.

Example of the output: one row per night with the date, occupancy on the books, rooms available, and whether it is below 63%.

Limits: never invent a number. If a number is not in the file, say so.

Before you start: list your questions.

Attached: the OPERA export of the test hotel (fictional data).

1 · Her questions

Here are my questions. I read the file first, so some of them come from what I found in it.

Window and dates

  1. Which seven nights? The file's business date is 2027-10-18, so I'd use the nights of 18–24 Oct 2027. Availability only covers 18–23 Oct (six nights). Occupancy covers 18–24 Oct, but the 24 Oct value (85%) is the top of the sandbox's scaling range and looks like an artifact, not a real booking figure. Should I report 24 Oct as "availability not in file" and leave occupancy blank for it, or drop that night?
  2. The file's dates are shifted by 364 days and say they are sandbox data, not real hotel performance. Should the report use the file's dates as they are, or do you want the real dates restored?

Definitions

  1. What does "occupancy on the books" mean? I'd use the file's occupancy figure and not rebuild it from the 50 sample reservations, which cover arrivals only and can't give full occupancy. Does that work?
  2. What does "rooms available" mean? The file gives the hotel-level available-rooms figure per night. I can check that it matches 1 − available ÷ 1,238 rooms, which it appears to. Should I use that figure as is, or should it exclude out-of-order rooms and held group rooms?
  3. Does "below 63%" use the occupancy figure before rounding, strictly less than 63%? On that rule, 18 Oct (60.43%) and 23 Oct (62.74%) would flag. Is that right?

Content

  1. Do you want group blocks and maintenance in the Monday report? Your example output doesn't include them. The file has some, but several blocks look odd: one has 401 rooms and several have 0 rooms. A single extra column such as "group rooms blocked" could mislead, and maintenance records aren't dated to a night. I'd lean toward leaving both out of the table and adding a short "data caveats" note below it.
  2. What format do you want? Choices are a table in chat, a CSV or Excel file, or a one-page shareable page for the owner. Is the owner reading it on a phone?
  3. Should the report be in English, and in USD where money appears? At the moment it only has counts and percentages, so no money would appear.

Rules I'll follow regardless

  • I won't estimate anything that isn't in the file. Missing items will show as "not in file".
  • I'll note that the file's 1,238-room inventory differs from the 1,053 operational rooms it lists, since that affects how the percentages should be read.

Once you answer, or tell me to go with my defaults, I'll build it.

2 · Our answers

Thanks. Here are my answers:

  1. Use the nights of 18 to 24 Oct. Keep 24 Oct, and mark its availability as "not in file".
  2. Use the dates as they are in the file.
  3. Yes, use the file's occupancy figure.
  4. Use the hotel-level figure as it is.
  5. Yes: strictly below 63%, before rounding.
  6. Leave groups and maintenance out of the table, and add the short data caveats note below it.
  7. A table here in the chat. The owner reads it on a laptop.
  8. English, and USD if money appears.

Go ahead and build it.

3 · The report

Next 7 nights, 18–24 Oct 2027 (business date 18 Oct)

Night Occupancy on the books Rooms available Below 63%?
Mon 18 Oct 60.43% 490 Yes
Tue 19 Oct 66.00% 421 No
Wed 20 Oct 64.78% 436 No
Thu 21 Oct 63.42% 453 No
Fri 22 Oct 63.55% 451 No
Sat 23 Oct 62.74% 461 Yes
Sun 24 Oct 85.00% not in file No (see note 1)

Nights below 63%: 2 of 7 (18 Oct and 23 Oct).

Occupancy is the file's figure, and rooms available is the file's hotel-level figure, both used as they are. The test is strictly below 63%, before rounding. Thursday 21 Oct and Friday 22 Oct are only 0.4 and 0.55 points above the line.

Data caveats

  1. 24 Oct is not reliable. The file has no availability for that night. Its 85% occupancy is exactly the top of the range the sandbox scaled occupancy into, so it may be an artifact and not a real booking level. I kept the night as you asked, but I would not read it as a strong night.
  2. The file is a fictionalized sandbox sample. Its label says it is not hotel performance, and dates and money were altered. Occupancy was rescaled to the 55%–85% range on an inventory of 1,238 rooms.
  3. The two figures agree with each other. For 18–23 Oct, occupancy matches 1 − available ÷ 1,238 within about 0.03 points.
  4. Groups are not in the table. The group list has odd entries, such as a tentative block of 401 rooms and many blocks with 0 rooms. A group-room column would mislead.
  5. Maintenance is not in the table. Its records have creation dates only, so I can't assign them to specific nights.
  6. Revenue and rate figures are not in this report. The reservation list holds only 50 of 1,000 reservations, and only arrivals, so I did not use it.
