Where: a chat at claude.ai. You need: one report you build by hand today, and its export.
- Pick the most complicated spreadsheet you have: the one only one person understands.
- Take guest names, emails and phone numbers out of the export before you attach it.
- Write a prompt with the six parts below and attach the file.
- Answer her questions. Then ask her to build the report.
- Check every number against the source before you use it.
The prompt: six parts
| Part | What to write |
|---|---|
| Context | Who you are, and who reads the result |
| Goal | One clear goal: the report you want |
| The file | What the export is and what is in it |
| Example of the output | One or two rows of the report as you want it |
| Limits | "Never invent a number. If it is not in the file, say so." |
| Questions first | "Before you start, list your questions." |
A template to fill in:
Context: I'm the [your role] at [your hotel]. The report is for [who reads it], who reads it [when].
Goal: build [the report] from the attached [system] export.
The file: a [system] export in [format], with [what it holds].
Example of the output: [one row as you want it, with its columns].
Limits: never invent a number. If a number is not in the file, say so.
Before you start: list your questions.
What to ask after her questions
- "Here are my answers: [answers]. Build the report."
- "For each number, tell me where in the file it comes from."
- "What in the file looks wrong or incomplete?"
